PA Executive Board Elections








The PA Elections Nominating Committee is Seeking Recommendations of Members to Fill All the Executive Board Positions for the School Years 2012-2013.
ELECTIONS WILL BE HELD ON THURSDAY, MAY 24TH @ 6:30

Corresponding Secretary

Descriptions of the responsibilities of each position can be found on www.IS285.org or posted on the Parents Corner bulletin board in the school's lobby.

If you or someone you know is interested in serving on the Executive Board, please contact the Nominating Committee at proudis285parent@gmail.com or leave your Nomination Form in Ms. Phillips office, room 141 by May 17, 2012.  All suggestions will be kept confidential.

Executive Board Responsibilities


President:

The President shall preside at all meetings of the Association and shall be an ex-officio member of all committees except the nominating committee.  The president shall provide leadership for its members. The president shall appoint chairpersons of PA Committees with the approval of the Executive Board.  The president shall delegate responsibilities to other PA members and shall encourage meaningful participation in all parent and school activities.  The president shall attend all regular meetings of the region/district presidents’ council and shall be a core member of the school Executive Board members in accordance with these bylaws to plan the agendas for the general membership meetings.  The president shall be one of the signatories on checks. The president or his/her designee shall represent the PA on region/district committees. The president shall assist with the June transfer of PA records to the incoming Executive Board.



Vice Presidents will perform the duties of the president in his or her absence or disability:

  • The First Vice President: Will assist the President in the performance of his or her duties, and will in charge of membership.  He or she will issue membership cards to members who have paid their dues, and will keep a list of such members.
  • The Second Vice President: Will be in charge of programming for the general meeting, distribution of information, sign-in sheets and refreshments.

o       The Third Vice President: will be in charge of fundraising.



Recording Secretary: Will be responsible for maintaining an up to date file of all meetings for general and executive board meetings. The responsibilities shall include notices, agendas, and sign-in sheets. The secretary shall prepare and read the minutes of each association meeting and shall make minutes available upon reasonable request. He/she will maintain custody of the association’s records and reports. The secretary shall assist the treasurer with the June transfer of all PA records to the incoming executive board.



Corresponding Secretary: Will attend to all official correspondence of the association, subject to the direction or instruction from the President. He/she will share information at the general PA meeting. In addition, any mail that has the person’s name on it, should not be opened by the Correspondent Secretary. 



Treasurer:

The treasurer shall be responsible for all financial affairs and funds of the association.  The treasurer shall also be responsible for maintaining an updated record of all income and expenditures on school premises and shall be on of the signatories on checks. The treasurer shall adhere to and implement all financial procedures established by the association. The treasurer shall be prepared to present and provide copies of financial reports at all association meetings. The treasurer shall also prepare and provide the January 31st interim and June annual financial accounting reports. He/she shall make available all books or financial records for viewing by members upon request and for audit. The treasurer shall prepare all financial records and assist with the June transfer of all PA records to the incoming executive board.



Assistant Treasurer: Will assist the treasurer in any financial duties of the office. In the event that the recording secretary is not available, the position must be rotated among elected members if the Executive Board whom are in attendance.



Members-at-Large: Will assist the Executive Board as necessary


School Leadership Team Membership: The president of the PA shall automatically serve as a core member of the School Leadership Team.
